If you’re a bookkeeper or accountant serving VI businesses, you already know payroll is one of the most time-consuming services you offer. And often one of the least profitable relative to the hours it takes. Between manual calculations, USVI-specific forms, quarterly filings, and year-end W-2 prep, payroll can eat 4–8 hours per client per month when done the old way.
It doesn’t have to work that way.
The Opportunity: Predictable Monthly Revenue
Most VI bookkeepers handle payroll one of two ways. They charge by the hour, which means income that fluctuates and scales poorly. Or they bundle payroll into a flat retainer priced too low because they’re afraid of losing the client. Neither one maximizes what you’re actually worth.
A productized payroll service with fixed monthly pricing, clearly defined deliverables, and a platform that handles the heavy lifting turns payroll into your most predictable revenue line. No hours to track. No scope creep. No explaining invoices.
Pricing Models That Work
| Tier | What’s Included | Suggested Monthly Price |
|---|---|---|
| Starter | Up to 5 employees, bi-weekly payroll, 941VI/501VI filing, W-2s | $75–$100/month |
| Standard | 6–15 employees, any pay frequency, all quarterly filings, 1099s, employee portal | $125–$200/month |
| Full-Service | 16+ employees, contractors, VIESA tracking, year-end package, priority support | $225–$400/month |
Ten clients at Standard pricing at $150/month is $1,500/month — $18,000/year from payroll alone. Add a year-end W-2 and 1099 package ($150–$300 per client) and the math gets better.
How to Introduce Payroll to Existing Clients
Keep the conversation simple. Something like:
“Right now you’re spending hours every pay period on payroll, or paying someone else to. I can take that completely off your plate for a flat $X per month. That covers running payroll, generating your 941VI and 501VI forms, handling deposits, and giving your team access to their pay stubs. W-2s at year-end are included. Want me to send a one-pager on what’s covered?”
Frame it as solving a problem they already have, not selling them a new service.
Sample Engagement Letter Language
Define scope clearly and protect yourself from late submissions. Here’s a starting point for the payroll section:
Payroll Services
Bookkeeper agrees to process payroll on a [bi-weekly/semi-monthly/monthly] schedule based on hours and compensation information provided by Client. Services include calculation of gross wages, applicable tax withholding (VI income tax, Social Security, Medicare, VIESA), generation of pay stubs, preparation of Form 941VI and 501VI, and annual preparation of W-2 forms.
Client agrees to provide all hours worked and compensation changes no later than [2 business days] before each scheduled payroll run. Late submission may result in a delayed payroll run or an additional rush fee of $[X].
Bookkeeper is not responsible for penalties resulting from inaccurate information provided by Client or failure to fund the payroll account prior to the run date.
Why Multi-Client View Changes Everything
The biggest operational headache for bookkeepers managing multiple payroll clients is context-switching — logging in and out of different accounts, tracking which client has filings due, making sure nothing falls through the cracks across businesses with different pay schedules.
Lasinja’s platform is built to support bookkeepers managing multiple VI businesses. From a single login, you move between client accounts, run payroll independently for each, and track filing status across your whole portfolio. One place, not twenty logins.
What You Stop Doing When You Use Lasinja
- Manually calculating VI income tax withholding from rate tables
- Filling out 941VI and 501VI by hand each quarter
- Tracking VIESA withholding separately from payroll
- Fielding employee calls about pay stub access
- Spending January reconciling W-2 figures against quarterly 941VIs
That’s time you put back into advisory work or into adding more clients without adding more hours.
Lasinja offers accountant and bookkeeper partner accounts for VI professionals managing multiple clients. Contact us to learn more about a partner arrangement.
